BaseReach User Guide

BaseReach sends personalised WhatsApp messages to the rows of a Lark Base table from your own WhatsApp number, writes Sent or Failed back to each row, and shows replies in the panel.

What you need

1. Set up (once)

  1. Install the BaseReach Bridge extension in Chrome.
  2. Open web.whatsapp.com in the same Chrome and scan the QR code with your phone. The extension icon shows ready with your number.
  3. Open your Base in Chrome, click the Extensions icon in the top right and open BaseReach. If you added it as a custom extension, the URL is https://basereach.systransform.ai/.
  4. The first person in your organisation fills in the short registration form (company, contact, email, phone, country). Sending is enabled right away.

2. Prepare the table

Any table works. Recommended columns:

ColumnTypePurpose
PhonePhone number or textThe recipient. Country code optional: set a default country code in Sending options (for example 60) and numbers starting with 0 are completed automatically.
StatusSingle select or textWhich rows to send (for example Pending). BaseReach writes Sent or Failed here.
Sent AtDateOptional. When the message was sent.
ErrorTextOptional. Why a send failed, for example Number is not on WhatsApp.

Every other column can be used in the message, for example a name, an order number or a date.

3. Write the message

  1. Under Recipients choose the table, the phone column and, optionally, the status column. In Only rows where status is type the value to send to, for example Pending. Leave it blank to send to every row that is not already Sent.
  2. Under Message write your text. Click a field chip to insert a placeholder such as {{Name}}. It is replaced by that row's value.
  3. The preview shows the first row's rendered message and how many rows match.
  4. Click Dry run to see every rendered message in the log without sending anything.

4. Send

  1. Click Send to N rows and confirm.
  2. Messages go out one at a time with a random pause between them (20 to 60 seconds by default, adjustable under Sending options). The progress bar and log update as they go.
  3. Each row is updated with Sent or Failed as soon as its message is handled. You can close the panel; the extension keeps sending and the rows are updated when you reopen it.
  4. Click Stop to halt after the current message.

5. Replies

Messages that people send back appear under Replies with a reply box, so you can answer without leaving Base. To keep a record, choose a table under Write replies into table. Create it with these columns: Phone, Name, Message, Type, Received At. New replies are added as rows.
